Resources & Job Aids: Reimbursement Options for Travel Expenses

When requesting reimbursement for lodging and meal expenses, travelers may select one of three options. The method selected must be used for the entire trip.


Option 1: Actual Expenses Reimbursement

  • The traveler may be reimbursed for the actual costs of reasonable and necessary meals, lodging and gratuities.

Option 2: Actual Lodging Expenses, Plus Per Diem for Meals

  • The traveler may be reimbursed for the actual lodging costs, plus the applicable meals per diem rate.
  • Meal per diem rates vary by area.

Option 3: Per Diem Reimbursement for both Lodging and Meals

  • The traveler may be reimbursed for lodging and meals on the basis of a full per diem rate.
  • Per diem rates vary by area.
